One of the many things I love about NetDocs for my law firm clients is that, because it is cloud-based, you are almost always using the latest and greatest version. While the company updates its platform on a quarterly basis, users generally face very little brain damage to advance to the latest version. No giant roll-out hassle; it’s all done for you!
(However, if you are using ndOffice, it is possible to maintain an older version and only upgrade at your convenience. Just remember: the longer you wait, the steeper the learning curve!)
Savvy Training & Consulting offers its clients all the NetDocuments trainings they need in the formats they decide are best for their firm. From continuous ND updates to our SavvySMART Content Library (which is usable in any LMS, including the SavvyAcademy LMS), to webinars, to in-person quarterly training updates, Savvy can make sure your firm is constantly using NetDocuments to its maximum potential.
Most recently, NetDocuments rolled out version 18.3 and I thought I’d share some of the new bells and whistles included in the version.
What is new in NetDocuments 18.3 and in ndOffice 2.4?
In the 18.3 release, there are a few items worth noting:
- Workspaces now contain Tabs
- The Overview tab can contain the workspace logo, description, and any web pages defined for the workspace. These were previously found on the workspace page, itself.
- The Documents tab contains all information previously found in the workspace, including Summary and List views.
- Additional tabs are anticipated in the future and may contain other NetDocuments products, such as ndThread and Collaboration Spaces (although additional fees may apply for these add-on products).
- Version Naming
- In addition to the version number, you can now add a nameto a version.
- Version Names are stored with the document and can be viewed in the Details pane.
- Version Names are searchable fields in the Advanced Search page.
- PDF Viewing
- When clicking on a PDF document name, you can open the PDF in a browser window instead of downloading it.
- This functionality was previously only available in Internet Explorer but is now available in all browsers.
- Filter Search by File Type
- From the Advanced Search page, you can specify file extensions to narrow your search results.
Here are some highlights of ndOffice 2.4:
- Activity Center
- The Activity Center defaults to “pinned and closed” status. The Activity Center is found by clicking on the ND icon in the System Tray or Taskbar. If you “unpin” it and close it, you need to locate and reopen it to use the Activity Center.
- You can edit the profile for any document in the Activity Center by hovering over the file name and clicking on the Edit Profile icon.
- Recent Documents List
- Emails are no longer added to the Recent Documents list. This allows users to view more documents in their list.
- Attach Documents in Outlook
- When replying to or forwarding email messages in Outlook, users can now attach documents from NetDocuments without opening the message in a separate window by using the ndAttach button and accessing the file(s) from the Attach dialog.
- Version Naming
- In addition to the version number, you can now add a nameto a version.
- Version Names are stored with the document and can be viewed in the Details pane.
- Version Names are searchable fields in the Advanced Search page.
- Default Profile Template
- A default Profile Template is automatically applied when a document is created or uploaded. This eliminates the need to select a Profile Template with each new document.
- When saving a document, selecting a cabinet location will apply the default profile template selected for that cabinet.
